Multi-Invoice PO Closure: Track Split Dispatches to Zero workflow diagram

The outcome

A purchase order that produced five invoices and three GRNs stops being unresolvable. Every child document is tracked against the PO line, and the order closes only when the numbers actually agree.

How teams use it

Parent-child tracking

Invoices, GRNs and debit notes attach to specific PO lines, so split dispatches stay linked.

Derived balances

Ordered minus received and invoiced minus paid are computed per line, never manually updated.

Fill-rate visibility

True fill rate per line falls out of the structure.

Clean closure

A PO closes only when every line is fully received, invoiced and reconciled.

How the workflow runs

  1. Link documents. Every invoice and GRN is attached to its PO line.
  2. Derive balances. Received, invoiced and paid balances are computed per line.
  3. Close when zero. The PO closes once all lines reconcile.

Bikaji. Bikaji automated PO, invoice and GRN reconciliation across 10+ channels into SAP at 99% accuracy, with the document trail previously split across portals and email.

Questions we get asked

Why does one PO generate multiple invoices?

Partial dispatch, multi-location delivery, channel-side invoicing and mid-cycle rate revisions each split a single PO into several invoices and GRNs.

How is a split PO closed correctly?

By reconciling at PO line level and deriving balances from the attached documents, so the PO closes only when every line is fully received, invoiced and reconciled.

Which channels are supported?

All connected quick commerce, ecommerce and modern trade channels.

Close split POs cleanly

See multiple invoices and GRNs tracked against one PO and closed only when fully reconciled.
